Getting started

How long does onboarding take?

Most agencies are live in a week. We help you migrate your customer list, upload your logo and brand colour, connect your WhatsApp Business number, and configure your PDF and email templates. Growth and White-label plans include guided onboarding calls; the step-by-step plan is in the onboarding guide.

Can I import customers and old trips?

Yes — customers import from CSV or a Google Sheet (name, phone, email, city). Past trips can be added as completed records so your customer history is intact. We do the import with you on Growth and White-label onboarding calls.

Do I need technical skills to use Payana?

No. If you can use WhatsApp and Google Sheets, you can run Payana. The only one-time technical step — connecting your WhatsApp Business number — is a guided 15-minute flow, and support does it with you if you prefer.

WhatsApp & channels

Do I keep my WhatsApp number?

Yes. Payana uses the official WhatsApp Business API, so your existing number is upgraded — you don't get a new one. Customers see the same number, with a verified green tick. No chat history is lost on your phone, though API conversations going forward live in Payana.

Can I still use WhatsApp on my phone?

The WhatsApp Business API replaces the phone app for that number — that's a Meta rule, not ours. In exchange, your whole team can reply from Payana on any device, and the Payana mobile admin app covers you on the move. Many agencies keep a separate personal number on the phone app.

What about Instagram and my website?

Instagram DMs connect through your Meta Business account and land in the same inbox. For your website, you get an embeddable enquiry form (a copy-paste snippet) — submissions become pipeline leads instantly.

Money & GST

How is GST handled on quotes & invoices?

Payana applies 5% GST on tour packages by default and switches to 18% for travel-arrangement-only services. TCS is automatically computed above the ₹7L threshold for overseas trips. Invoices include your GSTIN, HSN code, and place of supply — ready for filing. Full detail in the GST & TCS docs.

Does Payana touch my money?

Never. Payment links are created on your Razorpay account; customer payments settle directly to your bank in T+2. Payana reads payment status to update trip balances — it is never in the money path and takes no commission.

Can I record cash and bank-transfer payments?

Yes — manual payment entries (cash, NEFT/IMPS, cheque) sit alongside Razorpay payments in the same trip ledger, with a note and date. Balances and reports treat them identically.

Traveler app

What if my traveler doesn't install the app?

They don't have to. Every itinerary you generate is also a branded web page, a WhatsApp message, and a PDF. The app is the upgraded experience for travelers who want it — document delivery never depends on it.

Does the app show Payana's brand or mine?

Yours. Trips carry your logo, brand color, and consultant photo on every plan. A small "Powered by Payana" footer line appears on Starter and Growth; the White-label plan removes it and moves web pages to your domain.

Is the app really free for travelers?

Yes — free forever, no ads, no upsell, no booking fees. The traveler app exists to make your agency look good; it is not a monetisation channel. More on the traveler app page.

Data & security

Can I export my data if I leave?

Always. Export customers, trips, leads, and invoices as CSV at any time. There's a full-account ZIP download in Settings if you want everything in one go. We don't hold your data hostage — it's also in the terms.

Where is my data stored, and who can see it?

Data is stored in India (AWS Mumbai region), encrypted in transit and at rest. Your customer data is yours — we never sell it, never share it with other agencies, and never use it to compete with you. Details in the privacy policy and DPDP & GDPR page.

Plans & billing

Is there a setup or migration fee?

No. Starter and Growth plans are pure subscription. White-label customers may opt for paid onboarding if they want bespoke integrations, a custom domain set up by us, or data migration from legacy CRMs — that's quoted separately, in writing, before any work starts.

What does the trial include?

14 days of the full Growth plan — unlimited trips, AI drafting, automations — with no card required. When it ends you choose a plan; nothing is charged automatically. Billing questions live on the pricing page.
